You may have the right qualifications for a job, but an unclear resume can make it harder for recruiters to find the information they need. That is why checking your resume before applying matters.

Many employers use Applicant Tracking Systems (ATS) to organize applications and help recruiters search for relevant candidates. These systems vary, so there is no single format that guarantees selection.

This checklist will help you identify common resume issues and make your application easier to read, understand, and review.

What Is an Applicant Tracking System (ATS)?

An Applicant Tracking System is software that helps employers manage job applications. Depending on the system, recruiters may use it to store resumes, search candidate information, organize applicants, or support screening workflows.

An ATS-friendly resume uses straightforward formatting and clear content so that relevant information is easier to identify. Remember: ATS compatibility alone does not guarantee an interview.

01 / Layout

Resume Formatting Checklist

Start with the structure. A simple layout helps both recruiters and software interpret your information.

I use a clean, professional, single-column layout where practical. My section headings are standard and easy to recognize. I use a readable font, consistent font sizes, and balanced spacing. I avoid placing important information only in headers, footers, or text boxes. I use bullet points instead of long, dense paragraphs where appropriate.

Formatting tip

Avoid decorative charts, skill-rating bars, and complex graphics when a simpler text-based presentation communicates the same information. Some systems handle complex layouts less reliably.

02 / Contact

Contact Information Checklist

My full professional name is clearly displayed at the top. My email address looks professional and is spelled correctly. My phone number includes the correct country code when relevant. My LinkedIn profile, portfolio, or GitHub link works if included.

03 / Keywords

ATS Keywords and Skills Checklist

Compare your resume with the job description. Include relevant skills and terminology that accurately describe your experience.

I have identified the most relevant requirements in the job description. My resume includes the relevant technical and professional skills I actually possess. I use standard terms for qualifications, tools, and job responsibilities. I use acronyms and their full forms where helpful, such as SEO (Search Engine Optimization). I have avoided keyword stuffing and unsupported claims.

Example: Match skills honestly

Too vague

Good with computers and technology.

More specific

HTML, CSS, JavaScript, Git, and responsive web design.

Use the second example only if these skills accurately reflect your abilities.

04 / Evidence

Work Experience and Projects Checklist

Focus on what you did, the skills you used, and the results you can honestly demonstrate.

My work experience is listed in reverse chronological order where appropriate. Each role includes the job title, employer, and accurate dates. My bullet points begin with clear action verbs when suitable. I describe achievements and outcomes instead of listing duties alone. My projects explain the goal, tools used, contribution, and outcome.

Writing tip

Turn responsibilities into clear achievements

Instead of writing “Worked on website development,” describe the specific contribution, tools, and measurable result when available. Never invent numbers or exaggerate your role.

05 / Structure

Education and Additional Sections

My education details, institutions, and dates are accurate. Relevant certifications include their correct names and issuing organizations. Awards, volunteering, or extracurricular activities add relevant value. My resume prioritizes the sections most relevant to the target role.

06 / Final check

Final Resume Review Checklist

I have checked spelling, grammar, punctuation, and consistency. My resume length suits my experience and the role; unnecessary content is removed. I have followed the employer's requested file format and naming instructions. I exported the final file and checked that the text is selectable and readable. I reviewed the final document for broken links, odd spacing, and missing content. I tailored the resume to the specific job rather than sending the same version everywhere.

One final reminder

A completed checklist helps you catch common issues, but it cannot guarantee that every ATS will parse your resume perfectly or that you will be shortlisted.

Frequently Asked Questions

What is an ATS-friendly resume? +

It is a resume formatted and written to make its information easier for applicant tracking software and recruiters to read. No format guarantees a successful screening outcome.

Should I submit my resume as a PDF or DOCX? +

Follow the employer's instructions first. If no format is specified, a text-based PDF or DOCX may be appropriate. Avoid submitting a scanned image when a text document is requested.

Are tables and columns bad for ATS? +

Not every ATS has the same limitations, but complex tables, multiple columns, and unusual layouts can sometimes cause reading-order problems. A straightforward layout is a safer general choice.

Can I get rejected even with an ATS-friendly resume? +

Yes. Employers consider many factors, including job requirements, qualifications, experience, competition, and recruiter decisions. ATS-friendly formatting is only one part of a strong application.

How often should I update my resume? +

Update it whenever you gain relevant skills, complete projects, earn certifications, or achieve meaningful results. Tailor it again before each application.

Final Thoughts

An effective resume does not need complicated designs or an excessive number of keywords. It needs clear formatting, relevant information, and evidence that you are suited to the position.

Use this checklist before your next application to catch avoidable mistakes, improve readability, and present your qualifications confidently.
